Privacy: how your vendor documents are handled
CertCurrent is a document administration service. This page states, in plain language, what documents the service handles and what it does with them. It covers only what the service actually does — if a question isn't answered here, ask us at chiticohq+certcurrent@zohomail.com rather than guessing on our behalf.
What we receive
From your firm: your vendor list (typically a spreadsheet, AppFolio, or Buildium export), the certificate and document dates you already track, and your signed Requirements Sheet. From your vendors, at our written request: certificates of insurance, business licenses where their trade requires one, and W-9s.
How W-9s move
W-9s move by secure upload only — never as email attachments. Tax identification numbers never appear in your reports or in the Monthly Current Report. This is a standing rule of the service, stated in the offer and repeated in every report.
What the documents are used for
One purpose: administering your vendor file. Documents are organized into your compliance register, checked against the requirements on your signed Requirements Sheet, chased when they approach expiry, and reported back to you. Vendor documents are your file — they are not used for any other venture, marketing, or purpose.
What we state on every report
Every report reflects the documents received as of the report date. A certificate is evidence of insurance at issue; our check is a document check against your requirements, not a coverage determination. Questions about what coverage a vendor should carry go to your insurance broker — we do not advise on coverage.
